Inca Presswood Pallets is a manufacturer of Engineered Molded Wood(TM) pallets, core plugs, and extruded wood blocks, along with other engineered wood products located in Sardis, MS.
We are currently looking for a qualified Administrative Assistant working primarily the day shift, full time with competitive pay, and excellent benefits including 401k and paid vacation.
Job Purpose:
The Administrative Assistant works in a support role to the Plant Manager, Accounting Manager, Corporate HR Manager, Shipping Coordinator, and Executive VP, as well as other company and corporate colleagues.
The successful Administrative Assistant is an energetic professional who doesn't mind wearing multiple hats.
Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision.
Well-organized, flexible, and enjoys the administrative challenges of supporting an organization of diverse people.
Requirements:
Essential Duties and Responsibilities The essential functions include, but are not limited to the following:
Answers and directs telephone calls Retrieves mail at the post office minimum of 3x's per week Processes and distributes incoming mail Accurately enter all accounts payable invoices into company accounting software Responsible for filing paid invoices Responsible for entering basic accounting entries in the AP module such as voided checks After approval from the accountant, print vendor checks and mail Print shipping labels for shipments for the Shipping Coordinator Prepare Cost Invoice Analysis, daily and check for pricing accuracy Track all wood chip purchases and create an invoice for payables Help with local HR duties by getting necessary paperwork, sending documents to the HR manager, answering any questions from employees, keeping employee files current, etc.
Sends termination letters to management staff and to terminated employees Tracks employee boot and safety glasses reimbursements Setup pre-employment and random drug screens Step in as backup Shipping Coordinator when the role is open due to absence.
Assists plant manager and production manager as needed.
Minimum Qualifications (Knowledge, Skills, and Abilities) High School Diploma required Proficient in MS Office; particularly Excel and Word Proficient use of email and the internet Accurate keyboard skills Knowledge of office administration procedures Excellent oral and written communication skills Key Competencies:

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
